public administrations: what we translate day to day
The district straddles two language regimes: the City of Verviers and the neighbouring municipalities administer in French, while Eupen and the German-speaking Community administer in German. An agreement, a tender or a letter that crosses that line has to exist in both languages, in Belgian administrative terminology rather than that of German institutions.
Public procurement
Contract notices, special specifications, tenders and award decisions, handled within the publication deadlines.
Resolutions and by-laws
Texts voted by the municipal council, decisions of the executive board and by-laws of general application.
Letters to residents
Letters, forms and notices addressed to the public, in language that reads without effort.
Civil status and population
National register extracts, certificates, household composition records and documents issued at the counter.
Cross-border cooperation
Agreements between Belgian, German and Dutch municipalities, European programme files and minutes of inter-municipal meetings.
Website and communication
Municipal website content, the periodical newsletter, prevention campaigns and the welcome booklet for new residents.
What the public administrations sector demands here
The Verviers district has a linguistic make-up found nowhere else in Wallonia. Nine German-speaking municipalities sit alongside French-speaking ones, Malmedy and Waimes offer facilities in German, and a resident of Eupen addresses the administration in their own official language. At the counters in Verviers, Dison or Pepinster, meanwhile, people turn up who speak neither French nor German. The interpreter occupies a narrow position there: render, without steering or advising, in interviews where their neutrality determines whether what is recorded stands up.
Two kinds of text run alongside each other here and need different hands. A tender specification answers to strict formal rules and to a publication timetable that leaves no room for guesswork. A letter to a resident has to land on the first reading. Sending both to the same linguist would be a mistake.
The rebuilding under way in the Vesdre valley since 2021 has multiplied the paperwork in circulation: compensation files, expert reports, works contracts, European funding applications. Much of it leaves in Dutch, German or English. Finally, we know the points a population office checks on a sworn translation, which spares a second trip over a badly placed stamp.

The appointments that call for an interpreter
In an administrative interview, whatever is said will be placed on record. The interpreter's neutrality decides whether the outcome holds.
Municipal counters
Population, civil status, foreign nationals and planning desks, in Verviers as in the fifteen other municipalities we cover.
Social welfare interviews
Social enquiry, urgent assistance request, individual integration plan and case follow-up.
Residence and nationality
Appointments concerning a residence permit, family reunification or a nationality application.
Public meetings
Information sessions, advisory committees and presentations of projects to local residents.
An administration in the German-speaking Community will not accept a document in French on the grounds that French is a national language: on its territory the language of administration is German. The reverse applies to a file submitted in Verviers or in Dison. Check which language is expected before you send anything; we run that check with you at the quotation stage.
From your first message to the finished document
One project manager carries your public administrations file, so you explain your situation only once.
- 01
A photo of the document is enough
Snap it with your phone; the framing hardly matters. For an interpreting assignment, give us the language, the date and the address.
- 02
The quote goes out within the hour
It states the amount, the delivery date and the format: sworn if an authority demands it, standard otherwise. No charge, no commitment.
- 03
The file goes to the right linguist
A translator who works with public administrations vocabulary takes it on, then a reviser goes over the text before anything leaves us.
- 04
File delivered or interpreter on site
The file arrives by email; the stamped copy follows by registered post if the counter wants the original. The interpreter travels to you.
A bilingual file that has to go out on time?
An invoice your public accounting department can sign off, a sworn interpreter available within 24 hours.
Why entrust us with a public administrations file
An invoice your accountant will pass
Commitment number, line-by-line description and the particulars required by the accounts department of a municipality, a welfare centre or an inter-municipal body.
Belgian administrative German
Our linguists use the wording current in Belgium's German-speaking institutions, not that of administrations in Germany. An official in Eupen spots the difference immediately.
A specialist, not an all-rounder
A technical, medical or legal text never lands with a jack-of-all-trades, not even when the deadline is tight.
Confidentiality in writing
Everyone involved signs a confidentiality undertaking. Your files stay on European servers and disappear whenever you ask.
The figure stops moving
The number on the quote is the number on the invoice. Translation, revision and delivery are already in it; nothing is added along the way.
Travel with no mileage charge
Our interpreters drive to Verviers, Dison, Pepinster, Theux, Spa, Herve, Welkenraedt, Malmedy or Eupen at no extra cost for the journey.
Frequently asked questions
How do you handle files that cross the language boundary?
We work in both directions, French into German and German into French, with linguists who reuse the official Belgian wording. An agreement between two municipalities in the district then exists in two versions saying the same thing, checkable line by line by a lawyer on either side.
How does invoicing to a public body work?
We put your commitment number on the invoice, the description line by line and everything your accountant needs to sign it off. Where requests recur, an annual agreement and a monthly statement replace one-off invoices.
Can one interpreter cover two municipalities in a day?
Yes, and that is often how it is built: a morning in Verviers, an afternoon in Herve or Welkenraedt. Send us the addresses and the times and we put the round together. For a single assignment, allow 24 hours.
Do you handle the Dutch of public procurement?
Yes, and it is regular work. Procurement vocabulary is codified: we rely on the official wording published by the Walloon Region and the federal authorities, which avoids the improvised equivalents a Flemish bidder notices at once.
