The papers that come back most often here
« Sworn », « attested », « certified true »: your correspondent will use one of these three words, and all three point to the same service.
Civil status
Births, marriages, divorces, deaths, household composition, certificates of celibacy. Turkish, Italian and Arabic lead the way, a legacy of the families recruited by the Verviers cloth trade, ahead of Romanian and Polish.
Diplomas and equivalence
Transcripts, credit statements, course descriptions. An equivalence file with the Wallonia-Brussels Federation, an application to a university college or a candidacy filed across the border all call for the sworn version.
Court papers
Criminal record, certificate of good conduct, judgment, petition, submissions: everything filed with the Verviers division of the Liège court of first instance.
Notarial deeds
Sale agreements, deeds of sale, gifts, marriage contracts, and estates opened in Germany, the Netherlands, Luxembourg or Turkey, routine in a district bordered by three frontiers.
Company matters
Articles of association, extracts from the Crossroads Bank for Enterprises, minutes of general meetings, powers of attorney. As soon as a partner lives in Aachen or Maastricht, the sworn version becomes unavoidable.
Vehicles and mobility
Driving licences, registration certificates, European certificates of conformity: standard fare for cross-border workers changing country of registration or insurer.
Why a stamp changes everything at the counter
Set a sworn translation beside an ordinary one and the wording may well be identical. What separates them is the signature, the stamp and the statement of conformity, through which a professional listed in the register accepts personal liability.
The clerk who opens your file at the population office in Dison, at the civil registry in Welkenraedt or at the court registry of the Verviers division does not reread the Turkish or the German. She checks one thing: that the signatory really does appear in the national register of judicial experts.
Many people learn this only after a refusal. A bilingual cousin, a German-speaking colleague or an online tool may produce a text that is accurate, yet one that no administration will agree to place on file.
- Stamp, signature and statement of conformity
- Register number checked before we start
- Signed PDF first, stamped paper afterwards
- Tables and stamps reproduced as they stand
The cases where a free translation is turned away
The principle does not vary: once an authority has to rely on a text it cannot read for itself, it demands a sworn translator's signature.
Municipal counter
Marriage, legal cohabitation, entry in the population register, application for nationality. From Pepinster to Stavelot and from Jalhay to Plombières, the requirement is identical everywhere.
Verviers division
The Liège court of first instance sits here in town. Anyone from Theux, Malmedy or Limbourg is summoned to Verviers rather than to Liège, and their foreign papers must arrive in sworn form.
Recognition of a diploma
Equivalence with the Wallonia-Brussels Federation, admission to a university college, registration with a professional body, application to a German or Dutch university.
German-speaking administration
Eupen and the German-speaking Community handle their files in German and expect your papers in that language. The reverse holds too: a German document produced in Verviers must arrive translated.
Before ordering, put a precise question to whoever is asking for the document: sworn translation alone, legalisation of the signature on top, apostille, binding to the original or to a certified copy. The answer differs from one office to the next, and a rejected file costs far more than a phone call. If the wording escapes you, we will draft the question with you.
Four steps, from your kitchen or your office
From the second step onwards, the amount and the delivery date are settled.
- 01
You photograph the document
A sharp phone photo is enough to cost the job. Through the quote form or by e-mail, whenever it suits you.
- 02
Costed quote in 1 h
Price per page, delivery date, and the list of formalities genuinely expected: legalisation at the FPS Justice, apostille at the FPS Foreign Affairs, or neither of the two.
- 03
Translation, stamp and signature
The sworn translator for that language pair writes the text, reproduces the layout, then adds stamp, signature and statement of conformity.
- 04
Handover
The signed PDF reaches you by e-mail. Where stamped paper is required, the original goes out by tracked registered post.
Is a counter asking for a sworn translation?
Photograph the document and send it over. The amount and the delivery date come back to you within the hour.
What we hold to, file after file
Register checked every time
We verify the translator's entry in the national register of judicial experts for that precise language pair. Outside the register, the stamp is worthless.
Legalisation at the FPS Justice
We take the sworn translator's signature for legalisation whenever your recipient requires it. For an apostille we point you to the FPS Foreign Affairs counter: that step remains yours.
Registered post included
Many offices still want the stamped paper. It goes out by tracked registered post and nothing obliges you to come and collect it.
Express from 24 to 48 h
Appointment looming, file stuck: your document goes to the front. The surcharge appears on the quote before you agree to anything.
Contractual confidentiality
Every translator signs a confidentiality agreement, and none of your papers passes through a consumer translation engine.
Layout preserved
Stamps, tables, marginal notes, handwritten annotations: each element is flagged and keeps its place. The clerk must be able to compare both pages at a single glance.
Frequently asked questions
Sworn, attested or certified: which should I ask for?
All three words point to the same thing. In Belgium the official term is sworn translator and the reference list is the national register of judicial experts. Whichever word appears in the letter you received, this is the service you need.
My file is going to Eupen: in French or in German?
In German. A municipality of the German-speaking Community administers in that language and expects your papers drafted accordingly. Eupen lies some twenty kilometres from Verviers, so this back and forth is everyday work for us, for residence files, notarial deeds and school enrolments alike.
An estate is opening in Germany or the Netherlands: what needs translating?
Ask both the foreign notary and the Belgian one for their lists: they never overlap completely. Death certificate, certificate of inheritance, powers of attorney and bank statements all go through sworn translation. Such files are frequent in a district where many families own property or hold an account on the other side of the border.
I work in Germany and live in Welkenraedt: which papers should I translate?
It depends on what your insurance fund or your employer demands. Employment contracts, payslips, certificates of employment and pension decisions travel in both directions between German and French. Cross-border workers from the district send us these all year round.
Do you need the original?
Not to draw up the quote: a legible photo is enough. For the translation itself it depends on the recipient. Some offices accept work done on a copy, others require binding to the original or to a copy certified by the municipality. The quote spells this out before you confirm.
Legalisation and apostille, are they the same step?
No. Legalisation authenticates the sworn translator's signature at the FPS Justice: we take care of it, and it adds 3 to 5 working days. The apostille is a separate document issued by the FPS Foreign Affairs for countries party to the Hague Convention, and you have to request it yourself. The quote tells you which of the two your file needs.
